Position: Volunteer Coordinator (Part-Time)

About Us:

Eastside Timbers is a vibrant community organization dedicated to fostering engagement and organizing events that bring our members together. We are looking for a motivated and detail-oriented Volunteer Coordinator to enhance our leadership team and manage our volunteer network.

Role Overview:

The Volunteer Coordinator will play a pivotal role in managing and optimizing our volunteer program. You will oversee volunteers for various events such as Auctions, Casino Nights, Tournaments & Jamborees, Holiday Special Events, Complex Assistance, Community Engagement, and Concessions. Your efforts will ensure that our events are well-staffed, run efficiently, and provide a positive experience for both volunteers and attendees.

Key Responsibilities:

  • Develop and execute strategies to recruit and retain volunteers from our membership base.
  • Design and disseminate recruitment materials, including emails, flyers, and social media content.
  • Represent Eastside Timbers at meetings and events to promote volunteer opportunities.
  • Maintain and update a comprehensive volunteer database, tracking contact details, availability, and assignments.
  • Conduct orientations and training sessions to prepare volunteers for their roles.
  • Collaborate with event organizers to identify volunteer needs and ensure all roles are filled.
  • Clearly communicate event details and volunteer responsibilities.
  • Provide resources and support to volunteers during events, acting as their main point of contact.
  • Recognize and appreciate volunteers through ongoing support and appreciation initiatives.
  • Track volunteer hours and contributions for reporting and recognition.
  • Prepare and manage volunteer schedules and role descriptions.
  • Ensure adherence to policies and regulations related to volunteer activities.
  • Gather and assess feedback from volunteers to enhance their experience and improve future events.
  • Update the volunteer database with post-event information and feedback.

Qualifications:

  • Proven experience in a Volunteer Coordinator role or similar capacity.
  • Exceptional organizational and time management abilities.
  • Strong interpersonal and communication skills.
  • Ability to engage and work effectively with diverse groups.
  • Self-starter with a proactive approach to problem-solving.
  • Proficient in volunteer management systems and technology.
  • Flexibility to work evenings and weekends as event schedules require.
  • Preferred: Degree in Event Management, Human Resources, or a related field.

Position

TOPSoccer Administrator (Part-Time)

Background

Eastside Timbers is looking to expand Oregon's largest TOPSoccer program with the addition of a part-time TOPSoccer Administrator. TOPSoccer (The Outreach Program for Soccer) is a program initiated by USYS to serve players of all ages and gender identities who have any category of disability to access our beautiful game. The program format promotes independence for players who develop the skills to play on their own, however the "secret sauce" is our volunteer buddies who work one-on-one and in small groups with our players. This position will focus on access, inclusion, and programming for individuals with disabilities. Eastside Timbers is the only USYS-affiliated club serving TOPSoccer players East of I-205, and we are looking to expand our TOPSoccer efforts into Hood River, etc., while continuing to grow programming opportunities in the Troutdale and Clackamas community. 

Responsibilities:

  • Schedules all events including full seasons and camps
  • Coordinates with venues
  • Communicates with stakeholders (i.e. players, families, volunteers, donors, sponsors)
  • Tracks and sustains equipment inventory 
  • Navigates player kit and gear needs
  • Maintains revenue sources such as player fees and grants, and seeks new opportunities for fundraising
  • Collaborates with community partners (i.e. schools, Special Olympics)
  • Recruits volunteers and fulfills roles according to players' and program needs
  • Ensures all training requirements are met per club, state, and national guidelines for those 18 and over
  • Attends club and state events relevant to TOPSoccer
  • Promotes club-wide inclusion of players who may have disabilities and consider supports relating to:
    • Transportation
    • Payment
    • Behavior management
    • Family education
    • Health and emergent wellness protocols

Requirements:

  • Previous experience serving individuals with disabilities
  • Enthusiasm working with players with disabilities of all ages and skill levels
  • Knowledge of TOPSoccer programs, policies, and procedures
  • Excellent communication and interpersonal skills
  • Availability to attend programmatic functions 
  • Professional handling of private health information and finances
  • Ability to fulfill club, state, and national requirements of those serving TOPSoccer
